Questions

How do I price event tickets?

Start from costs. Add up your fixed costs (venue, speakers, marketing) and your variable cost per attendee (catering, materials), then divide the fixed costs by expected attendance and add the per-attendee cost to get your break-even ticket price. Price above that to make a profit. The tricky part is that attendance affects the price — fewer attendees means each ticket must cover more of the fixed costs — which is why modelling it matters.

What if fewer people show up than expected?

That's the main risk with fixed-cost-heavy events: if attendance falls short, the fixed costs are spread over fewer tickets and you can slip below break-even. Prudent organizers price using a conservative attendance estimate, or build in a margin buffer so a shortfall doesn't cause a loss. This planner lets you test different attendance levels so you can see the price you'd need in a worst case and set tickets accordingly.
